Room Rental Classes
(Prices apply for events that are within our normal business hours)

CATEGORY A – GENERAL PUBLIC

Room Rental Options
  • Entire Facility - $400.00 (Friday or Saturday Evening - $600.00)
  • Dining Room (max. capacity 90 people) - $250.00 (Friday or Saturday Evening - $300.00)
  • Banquet Room (max. capacity 40 people) - $125.00

CATEGORY B – EVENTS WITH MEMBER INVOLVEMENT

(Ex: Non-Profit Fundraiser, Business Meeting, Member’s Class Reunion, Member Relative, Etc.)

Room Rental Options
  • Entire Facility - $250.00 (Friday or Saturday Evening - $450.00)
  • Dining Room (max. capacity 90 people) - $150.00 (Friday or Saturday Evening - $200.00)
  • Banquet Room (max. capacity 40 people) - $75.00

CATEGORY C – MEMBER OR HOUSEHOLD FAMILY MEMBER

(Examples: Member’s Household Wedding or Anniversary, Family Reunion, Graduation, Etc.)

Room Rental Options

  • Dining Room (max. capacity 90 people) - $75.00
  • Banquet Room (max. capacity 40 people) – FREE
For food functions, your room rental fee includes cloth napkins, flatware, and glassware. Table cloths will be determined on a case by case basis. Discuss questions and specific needs with the Restaurant Manager.
Payment
Payment of Room Rental is due the day of booking the event, to guarantee the date and space for event. The balance on any billings will be due upon receipt of invoice. Any balance due past 30 days of the stated invoice will be charged a 1 1/2% interest per month until the balance is paid in full.

Sales Tax & Service Charge
All food prices and beverages are subject to a 7% sales tax and 20% service charge (taxed).

Guarantees
Please provide the clubhouse office with guaranteed number of guests attending at least seven days prior to the functions first day. You will be charged for the guaranteed amount or the actual number of people served, whichever is greater. Guarantees cannot be reduced inside of seven days of the event. If the Clubhouse office is not advised of guarantee number within the seven day guideline, the highest estimated figure will automatically become the guarantee. The Spencer Golf & Country Club will set up and prepare for 5% over the guaranteed number.

Cancellation
Less than three days prior to the event: The room rental fee is non-refundable and food and beverage is fifty percent (50%) of anticipated billing. Less than seven days prior to the event: The room rental fee is non-refundable.

Set Up Fees
Basic set-up of function space is included in your ROOM RENTAL RATE. Additional labor rates may apply for decorating, A/V set-up/tech services, etc. Discuss questions and specific need with the Banquet Manager. This fee will not be waived or reduced for groups that volunteer to help set up. Spencer Golf & Country Club does have a dance floor available for use. Set up fee is $50.00. There is a $250.00 set up fee for outdoor functions. This fee includes: space, set-up and tear-down of tables, chairs and equipment. Additional fees may apply for any rental of tent, tables and chairs if needed. The set-up fee is subject to a 20% service charge and 7% sales tax.

Banquet & Reception Menu
Our staff takes pride in customizing programs and menus to fit your special requirements. All food and beverage items served must be supplied and prepared by the Spencer Golf & Country Club.

Liquor Laws & Liability
All liquor, beer, or wine consumed on the property must be supplied by the Spencer Golf & Country Club and proof of age may be required. No liquor, beer, or wine may be brought onto the Spencer Golf & Country Club property. Liquor service must end in accordance with state liquor laws and is at the exclusive determination of the Spencer Golf & Country Club. The Spencer Golf & Country Club will not assume any responsibility for the damage or loss of any merchandise or articles left on property before, during or after your function.

Music & Entertainment
The procurement of entertainment is the sole responsibility of each client. The Spencer Golf & Country Club requests that we be informed of all scheduled music and entertainment. The Spencer golf & Country Club reserves the right to limit entertainment in duration, volume and content for all guests of the Spencer Golf & Country Club.

Decorations
Any special requests for decorations should be directed to the Clubhouse office for assistance with local vendors and suppliers. Please approve all decoration plans through our clubhouse office prior to your event.

Shipping & Storage
Meetings materials may be received by the Spencer Golf & Country Club three days prior to your function. Please coordinate through the Clubhouse office as storage and office space is limited.

Excess Cleaning & Damage
If it is determined by the Spencer Golf & Country Club Management that additional cleaning is necessary, or if damages to banquet space or equipment is incurred, professional cleaning and replacement cost will be billed to the host party.

Internet Access
The Clubhouse offers free wireless internet access.

Audio Visual Equipment
The Clubhouse office may be able to arrange for the rental of some audio-visual equipment that you require for meetings or program activities. Discuss questions and specific needs with the Banquet Manager.
